General booking conditions

Individual and group applications are made online via the “Visiting Delegates Application” accessible from a web browser. The Android application can also be downloaded from the Play Store.

  • Each delegate must create a profile in order to apply for support or to be part of a group.
  • Delegates can submit and follow up their requests for accommodation support via their personal profile. They can submit the required documents and access their booking confirmation.

  • The group coordinator can invite delegates to join the group in order to be able to follow up and coordinate the requests of the whole delegation.

The request for accommodation support must be submitted online, at least 1 month before the delegates’ arrival in Geneva.

CAGI makes a reservation with one of its partner hotels and sends a booking confirmation to the delegate, containing all the necessary information for the smooth running of the stay.

Any changes to the stay must be made via the application or communicated to delegates.cagi@etat.ge.ch at least 3 days before the planned date of arrival. In case of late cancellation or no-show, a fee of 120 CHF/delegate will be charged.

CAGI is the only contact with the hotel and cannot take back a reservation made in advance. The choice of the partner hotel depends on availability and the rates offered for the period of stay.

The documents below are required to process a request for support :

  • Passport*,
  • Letter of invitation and/or accreditation*,
  • Travel Document or proof of refugee status (if applicable)*,
  • Flight plan,
  • Visa (if applicable).

The documents followed by * must be uploaded on the personal profile when applying for support.

Visa and flight plan can be provided at a second stage, and no later than 7 days prior arrival.

Upon confirmation of the accommodation support by CAGI, the delegate will be informed of the amount of the financial contribution to be paid. The delegate undertakes to pay this contribution to CAGI before leaving Geneva:

All requests for support are subject to the acceptance of the General Terms and Conditions and the Privacy Policy of the “Visiting Delegates Application”.

CAGI relies on the information provided at the time of application and reserves the right to take any action deemed necessary if this information proves to be inaccurate by cancelling the entire reservation in the event of non-compliance with the General Terms and Conditions or the partner accommodations’ internal regulations.
