Purpose of the post

As the Office Administrator, you will provide administrative support to the Head of the CTI Secretariat to facilitate the smooth running of the CTI Secretariat Office. You will liaise on administrative, human resources and accounting matters with the CTI’s strategic partner, the Association for the Prevention of Torture (APT).

About the CTI and the CTI Secretariat

The CTI is an initiative by States for States being spearheaded by the Governments of Chile, Denmark, Ghana, Indonesia and Morocco, with the vision that by 2024, every State in the world will have ratified UNCAT and be working towards its active implementation. The CTI is supported by an independent Secretariat, based in Geneva, composed of the Head of the Secretariat and a small team of professional staff and an Office

Job description

The Office Administrator will assist with all aspects of:

Office management and administrative support

  • Use a range of office software, including email, spreadsheets and databases, to ensure the efficient running of the office
  • Make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively
  • Manage online and paper filing and mail systems and keep CTI contacts and work protocols up to date
  • Develop and implement new administrative systems, such as record management
  • Maintain supplies of stationery and equipment, and liaise with contractors for computer and other technical support
  • Maintain the condition of the office and arrange for necessary repairs
  • Arrange regular testing for electrical equipment and safety devices, as necessary
  • Follow Standard Operating Procedures
  • Organise agendas and meetings, prepare documentation, schedule meetings
  • Translate basic documents, and coordinate translation of key CTI documents
  • Coordinate the design and printing of CTI documents, and keep an inventory
  • Ad hoc duties and projects that the role may require.

Human resources

  • Support the recruitment of new staff, sometimes including training and induction
  • Alert payroll to any approved changes in monthly payroll
  • Keep records of duly approved staff absences on sick and annual leave, and together with the Head of Secretariat, ensure adequate staff levels to cover for absences and peaks in workload
  • Promote staff development and training and keep track of their participation
  • Keep abreast of health and safety policies and data protection policies in relation to the storage of date, and ensure they are observed
  • Organise business cards for CTI staff and liaise with APT for UN badges for CTI staff
  • Alert APT Human Resources of any staff changes


  • Record office and programme expenditures, obtain approvals, and prepare monthly payment batches for payment by APT Finance Officer, and keep files
  • Check and control that all expenses are duly approved and coded using appropriate accounts (invoices, travel expenses, credit cards, etc.)
  • Responsible for petty cash inflow and outflow and keeping records
  • Reconcile travel and other expenses for the Head of Secretariat and prepare related documentation, for approval

Logistics and administration for CTI events

The CTI Secretariat runs a number of events (conferences, workshops, study visits to Geneva of visiting government delegations, or visits to different countries) every year. As the Office Administrator, you will work with the designated staff member responsible for particular events, and provide the following support:

-preparing and sending invitations to participants and speakers, and keeping track and following-up on attendance; registration of participants; flight and visa arrangements; accommodation; liaison with venue and agreement of contracts; DSA/per diems for participants; conference facilities; printing of materials; etc.

Qualifications/experience required:

  • Strong MS Office skills (Word, Excel) are essential,
  • CFC Employé de Commerce or equivalent,
  • Minimum of 5 years’ experience in an administrative/office manager position, and experience in supporting conferences or seminars,
  • Fluent French and English,
  • Swiss nationality or valid Swiss working permit.

Key competencies required:

  • Highly organised,
  • Experience in an international environment is a plus,
  • Strong communication skills, fostering open and regular communication and a cheery, proactive approach to work,
  • A “do-er” – willing to go the extra mile, and enjoys supporting others,
  • This role requires a flexible and positive team player with the additional ability to work swiftly and autonomously, in a small team,
  • Understand and respect the confidentiality of the CTI’s work,
  • The work can be challenging as you will often be responsible for meeting targets and deadlines.

This is a part-time position based in Geneva, Switzerland, with a three-month probation period. Only persons who are Swiss or hold a valid Swiss permit will be considered. You must be available to start as soon as possible.
