The GICHD is a Swiss expert organisation with a global outreach, supporting the ultimate goals of mine action: saving lives, returning the land to productive use and promoting development. A major strength of the GICHD is its diverse pool of specialists who bring to the mine action community a wide exposure to mine action programmes and contexts, including politically-sensitive environments, all over the world. This allows the Centre to perform research, identify good practices, improve standards, methods and tools, and serve as the leading multi-lingual knowledge hub for mine action practitioners.

Based at the Maison de la Paix in Geneva, the GICHD is structured with three operational divisions: Risk management, Information management and Strategies & Standards; an External Relations & Policy division as well as a Support & Administration division. Our multi-national teams are specialists in international development policy and programming, demining operations management cycle, ammunition safety management, international humanitarian law and conventions, monitoring and evaluation; support functions in communication, administration, human resources, finances, conference management and project management, as well as post-graduate junior professionals supporting front-line operations. With over sixty women and men from twenty-two countries, the GICHD represents a unique and international hub of mine action expertise and shared knowledge.

The GICHD has an opportunity for a Human Resources Administrator to join the Support and Administration team. Reporting to the Human Resources Manager, the Human Resources Assistant will fulfil the complete administration cycle of the employment contracts, for instance:

  • Preparing the employment contracts, on-boarding administration with the contractor, administrating internal and external procedures for arriving and departing employees, work permits and legitimation cards, and monitoring and recording absences and overtime requests;
  • Handling the mobility of internationally-hired employees: international transport, temporary accommodation, relocation allowance, ad-hoc assistance on administrative procedures in Switzerland;
  • Preparing the monthly payroll with the outsourced provider and liaising with the Finances section for the accounting of payroll entries;
  • Processing and monitoring insurance claims;
  • Updating and maintaining the employees’ records in the database;
  • Maintaining HR procedures, forms, templates and internal HR communication pages.

*The Human Resources Assistant position will be contracted on an 80% time basis. An incumbent with a preference for full-time employment may be contracted for an additional 20% position in the Support and Administration division, with the following responsibilities:

  • Assistance to the GICHD Director in secretarial, administrative and logistic tasks;
  • Administration of the travel requests and flight reservations (in liaison with the travel agency) for staff members on mission and for visiting delegations;
  • Occasional support to the Conferences section for the organisation of conferences (registration or help desks).

Profile requirements
Essential attributes

  • Experience of minimum 4 years in a similar position with companies and/or local or international organisations based in Switzerland
  • Good knowledge of the employment contracts administration with social insurances and tax-at-source  in Switzerland
  • Strong organisational skills to work efficiently in a fast-paced environment
  • Proficient user of MS Office applications
  • Excellent level of French and English as working languages, both in written and oral form
  • Service-oriented attitude and inter-personal communication skills enabling effective relationships with colleagues, internal clients and other stakeholders from diverse cultures
  • Commitment to the continuous improvement of individual and organisation-wide results

Desirable attributes

  • Swiss Certificate of Human Resources Assistant
  • Experience in HR administration in international non-profit organisation(s)
  • User of SharePoint, Navision and Visio software
